5 Things To Look For In Your Next Audio Visual Hire

There are a variety of situations where you may need to enlist the aid of an Audio Visual Hire. Business conferences, theatrical productions, and small banquets can all benefit from it, showing that every level of industry stays connected. If you have an event that you are planning which requires the advanced components of audio and visual technology, then these are the things you should look for before making a commitment:

What kind of accreditation does the company in question have? Anyone can gain access to advanced equipment and call themselves an audio visual firm. Luckily, there are organizations, which can help you determine the good from the bad through accreditation. Look for companies that are recognized by the Professional Lighting and Sound Association, and you will have access to quality you can trust.

What services do they offer? The least amount of experience that a company has, the least it will be prepared to offer its clients. Audio Visual Hires can accompany a number of components such as lighting, sound, staging, custom set designs, plasma screens and projectors. The more modern technology the better. When you are having a wedding or a business event or any other function, you want to make sure that everyone in attendance has an easy time observing the surroundings and enjoying the experience.

How much experience do they have in the areas of your needs? There is nothing particularly wrong with upstart companies, but you do want to make sure that the risk is worth the reward. The more years a company has under its belt the better, but remember: quality will leave a trail behind it that you can follow. Lack of quality will do the same.

Are they willing to listen to your ideas and are they always accessible to you throughout the process? Event coordinators, who look at you as a partner rather than an uneducated obstacle are ideal. Just because they have more background knowledge, that doesn’t mean that you can’t have great ideas to enhance the enjoyment of your event for all patrons. The more something means to you, the greater part you will want to take in carrying it to fruition. Only work with those companies who help you reach your goals, not theirs.

How equipped are they to carry out what you are looking for in an Audio Visual Hire? How much equipment and experience that a company has behind it makes all the difference in the world to the success of an event and your happiness with the overall experience. Ask yourself the following question: How does the company present itself? If it is an ugly picture, then it stands to reason you can’t trust them to create the best presentation for your event. However, if you like the way they present themselves, chances are good your will love how they represent you.

Audio Visual Hire companies that offer PA hire and other options can bring a lot to your event or conference. Visit our site if you want quality delivered to yours!

Wedding Checklist – The 3 Most Important Things to Do in Wedding Planning

Wedding Checklist – The 3 Most Important Things to Do in Wedding Planning

After waiting for the longest time, your beau has finally proposed and asked for your hand in marriage. Seeing the engagement ring wrapped around your finger, you must be ecstatic as you conjure up images of a surreal, elegant and lavish wedding – something that even royalty would find to their liking. Now, on to planning a wedding budget …

Yes, reality checks in as soon as you both discuss the budget – which is hardly enough for a debutante’s passage into womanhood or a child’s birthday party, let along a wedding. The images in your head dissipate quickly, your dream bubble popping away instantly. It’s pretty obvious that you won’t be getting J. Lo as your wedding planner anytime soon; unless you win the lottery tomorrow (then that is a totally different matter).

While waiting for the winning numbers, assume that you will be the one doing the preparations. And there is a lot to prepare. Start with 3 of the most important things you should consider when planning a wedding:

1. Set the date. While many will say that you shouldn’t decide on this immediately, I beg to disagree. In reality, this is actually the most important thing that you and your fiancée should decide on before making any other moves. Have several dates on hand so that if the first one doesn’t jive with your schedule, then you have alternatives. With a date, you will now be able to start your preparations for the wedding – booking venues, asking family and close friends of their availability, etc.

2. Getting a marriage license. Saying your “I do’s” isn’t an easy task. Wherever you are in the world, you can be sure that you will be asked for a marriage license, so be sure to get one. Since most countries, states, towns and cities have varied rules and regulations when it comes to marriage licenses. Drop by your local county clerk or clerk of court to find out how you can get one. Ask as much information as you can, especially if one of you has already been married before – a case which requires the formerly-married party to have supporting documents (a divorce, annulment or dissolution). Also, it may take just a day or two to get a marriage license but some places have holding periods. So it is best to just get one as early as possible, so that if certain problems arise, you will still have time to fix it.

3. Making a guest list. You need to have an approximate number of wedding guests ready since it will most often be the basis for a lot of your preparations. Again, you need to get a hold of your husband-to-be for this task as there may be some people that he may be uncomfortable with – people he doesn’t want to see on your wedding day, and vice versa.

The Meeting Planner’s Online Advantage: Automate These 7 Things To Increase Attendence By 27%

Category : Event Planners

The Meeting Planner’s Online Advantage: Automate These 7 Things To Increase Attendence By 27%

Seven Ways to Increase Event Attendance by 27% RIGHT NOW with a Fully-automated System:

1. Send email invitations along with snail mail.

Due to the costs and hassles of mail, increasing invitation frequency is not economical. With broadcast email you can schedule perfectly timed invitations to go out in sequence. Giving you more opportunity to attract registrants. An automated system automatically emails your registrants whenever you want it to.

2. Receive commitments quickly.

No licking envelopes or searching for stamps is required by your potential registrants when you include a direct link to your registration form from your email invitation.

3. Automatically notify people who abandon registration.

Ever wonder how many people start their registration but don’t follow through? Well, with an automated system, you can not only be notified when this happens, but create an email that automatically gets sent to them when they abandon the process, recapturing 20-25% of these fence-sitters directly from the email.

4. Communicate with people who haven’t RSVP’d.

Some people need several prompts or reminders of an upcoming event before they finally register. Schedule subsequent invitations to go out automatically and on the days you select to those on your list that have not yet registered.

5. Automate confirmation emails to increase ‘word-of-mouth’ advertising.

Statistics show that you can increase your word-of-mouth registration by including a “Refer-a-Friend” link in your confirmation emails. You can even give them suggested verbiage to send on about your event right in the body of the email. Automated systems make it easy to get referrals, giving you additional registrants.

6. Decrease no-shows with reminder emails.

We have heard of event planners that see a 90% attendance rate after sending a reminder email when their previous no show rate was as high as 35%. An automatically generated reminder email is a great place to send final event details to your attendees.

7. Keep registrants informed with automatic waitlist emails.

A waitlist without coordination headaches is possible in a system with automated waitlisting. When a spot opens up, an email is automatically sent to the next person on the waiting list. They can confirm and pay, or decline and the process will repeat – automatically – effortlessly keeping your event at capacity.

With a fully-integrated online registration system, you can get an easy to use broadcast email system that will increase your signups by 27% or more.

Hawaii Wedding Planner: 5 Important Things to Know

Hawaii Wedding Planner: 5 Important Things to Know

After dreaming about your wedding you’ve finally chosen to have it in glorious Hawaii. There truly isn’t a more incredible location. Hawaii is everything that you would imagine it to be. The sunny weather, beautiful beaches and that wonderful aloha spirit are sure to make it extra special.

Just how do you go about planning a destination wedding from so far away? Choose a Hawaii wedding planner that will be able to provide you with all of the help and information that you’ll need.

1. Be sure to speak with several wedding planners. You’ll want to ask lots of questions. Think about what is important to you and make sure it’s important to them as well.

Check into the BBB to see their record. Do they have any client referrals or better yet, clients that would be willing to speak with you? Make this an interview for a job, it is after all. You will need to consider this as you would any business transaction, so be sure to have a written and signed contract.

2. Inform the planner of your budget, and stick with it. You’ll be surprised how economical it can be to get married in Hawaii. Of course, you can spend tens of thousands if you wish, but it really isn’t necessary.

3. Do they have wedding packages available? A package may save you a lot of money and time. These are usually tried and true. The kinks have been worked out. You may not have much flexibility with a package, though.

If you want something a little (or a lot) different see what other options they have. Even if you don’t use a package, they are a good starting point and can give you lots of ideas.

4. A good Hawaii wedding coordinator will have multiple contacts available. They will have worked with them and know their styles. Not everyone will want a hippie minister, however, he may be perfect for you. The more information you give, the more likely you will end up with vendors that suit you perfectly.

Since they work with them on a regular basis, they will be able to provide you with a top notch vendor and quite possibly an excellent bargain.

5. Will your wedding planner be available for the wedding? Not all are. Ask up front if they will be there and if there is an additional charge for this. If you have a package, it may be included. If you are paying ala carte, there may be an extra charge.

This is worth considering. There are tons of things that can come up and it’s nice to have your local wedding planner there to handle it.

The peace of mind that a wedding coordinator can provide may be worth the price alone. A good Hawaii wedding planner will save you lots of stress, and probably money as well. They will work with you to make sure you have the wedding you are dreaming of instead of what they would like to offer you.

Dreaming of a hawaii wedding? Let Hawaii wedding guide help with all the details. Read more on choosing the right Hawaii wedding planner and keep track of it all with a destination wedding checklist .

Things to Think About When Planning for a Party or Special Event

Things to Think About When Planning for a Party or Special Event

Planning an event can be a large task, it is important to have a checklist so that important details do not get left out. The first thing you want to do is start gathering the data that you will need to make the proper planning. Start recording all the data on paper.

1. The first bit of information that you will need is how many guests you are expecting. You can get a more accurate result when you send out RSVP invitations, then you will get feedback from your invited guests whether they will be attending or not.

2. Will the event have food served? Will it be a sit down dinner or a buffet? Or will you have hor douvres ?

3. What kind of event’s will take place at the party? Games, Casino Night, Award presentations, Entertainment?

Once you have all of your data collected you can go more in detail in the planning process. Now that you have a Party Plan List, you might want to review it on a regular basis. As things begin to get done, check off things that no longer need your attention, or mark done what you’ve done so far for any one thing on the list.

As the planner, you need to know how to communicate with all your vendors. That means you must have a working knowledge of catering, photography, lighting, tents, floral, contracts, and so forth and you also have to be aware of all the latest innovations in these industries too. A good planner is one who excels at his or her profession, understands that he or she is the team leader on any event.

The next step in planning your party will be the place. Depending on how many guests that you expect to be attending will be the determination of where the event will be held. Some ideas of common places that parties an events are held are Hotel ballrooms, resorts, or restaurants. For larger events of 100 plus guests try some non traditional venues such as Museums, Art Galleries, Aquariums, Universities, or Large Event Tents. A key thing to keep in mind is to always estimate up, it is much better to end up with too much space than not enough.

The next major item of the event planning agenda will be the food. One factor to consider for event planning is whether you need to hire a caterer. For small events, you could probably get away with most of the planning and cooking by yourself. However, for bigger sized events, caterers can provide invaluable assistance. Will it be a formal sit down dinner with servers. Will you have a buffet line that guests will go through, or will there just be hor douvres passed around. There are many things to consider when serving food at your party or event such as place settings, dishes, glasses and utensils, not to mention the cleanup afterwards.

The third major part of the event planning process is entertainment. There are many types of entertainment to consider including magicians, jugglers, hypnotists, fortune tellers to the traditional live bands or DJ’s. Which type of entertainment will best fit the type of event that you are planning for? When hiring entertainment it is important to ask for a demo tape or video before signing any contracts. And on the subject of contracts make sure nothing is left to question before signing any contracts.

Some questions that will help in the party planning process are:

· What is required from the event?

· What is known about the guests?

· Who is going to meet and greet?

· Who are the VIP’s and the ‘must speak to’ guests?

· Who already knows who?

· Who is going to talk to whom?

· What signals and gestures will be used for ‘parking’ guests?

· Who is going to introduce who to whom?

· What time are the various members of the team going to be there?

· What time do we expect the last guest will go home? 6 to 9 doesn’t mean anything to guests having a wonderful time!

Good planning and preparation is the key to any successful event. However, ensuring that you have attended to every detail can be exhausting and it is very easy to overlook something which may adversely affect your event outcome. Planning an event can be stressful at the best of times if you are not organized, but when we are talking about large scale events, like a wedding or business conference, it can become overwhelming. It is therefore essential that you, as the event organizer, have planned all the steps needed before embarking upon action.

Hopefully this article has given you some ideas of things that you need to think about as a party/event planner. The last thing is enjoy the party when it comes, there will be things that go wrong and little details that might be left out, but as long as you don’t broadcast this to your guests they will never know. Do not stress about it, because it will be too late to do anything about it, so chalk it up to lessons learned from experience and go have fun and reap the benefits from all of your hard work.

Wedding Planning – 5 Things To Avoid

<!– @page { size: 8.5in 11in; margin: 0.79in } P { margin-bottom: 0.08in } –>

If you have been part of a big wedding, I guess you will have your do’s & dont’s in your own wedding and what I am definitely sure is you will always want a better one. Some of us do not take wedding planning seriously and then we end up disappointed & stressed after your big day. Let us say I have been to a perfect wedding and a worst wedding. Last night, I was thinking a topic for my wedding article and my friend (who has the worst wedding I know) called me asking for something. Then poof I decided what will be my next topic. Here are the list of things you should avoid prior to your wedding planning and during your wedding day:

Wasting Money. It is fine to have party every night however should make sure you are not the one who will pay the bill. I know you just have your engagement and this deserves a lot of celebrations but when you take a look at how much you spent after those parties, it is enough to pay your wedding vendors. It is a common mistake newly engaged couple do prior to wedding planning. In my friends case, she wasted 30% of her wedding budget and that is not a good thing to start her wedding planning.

Comparisons. When you have been to a fabulous wedding you tend to compare how better it was and how worse will be yours. Think about it, every wedding will be different from the others. You will always have different foods, guests, themes and locations therefore you cannot completely copy anyone’s wedding. And your goal is not to make it like theirs but something we will remember for the rest of our lives.

Disregard Weather Forecast. Weather must be considered on wedding contingency planning. You must be updated on the current weather forecast to be prepared. You do not want your guests to be wet, right? Making sure you are on the right place at the right time is a big part of your wedding planning.

Get Drunk. Getting drunk will totally ruin your wedding day! When you think you cannot take it anymore just do not pick that glass and just enjoy the show. It is recommended not to drink your wine unless they requested it and if you think you have it then just stop.

Forget About The True Essence of Wedding. Wedding is not just about settling down. It is not about having the best wedding in town or how beautiful your partner is. It is a celebration of two hearts become one. It is about signing the contract with your partner in front of God and this day will always be the day where you decided to carry the responsibility of a husband or a wife.

Avoiding this things will not give you a perfect wedding. Let us face it, there will be no perfect wedding and there will be no perfect husband and wife however having an idea on what to do prior and during your wedding day gives you an edge over couples who just want to have a wedding without planning. The thing is, this will be your own wedding and you are the star of the story.
