How to Plan a Tulum Destination Wedding

I still remember my wedding day, that day was the greatest day of my life. When the idea came up to my head to celebrate my wedding in Tulum (the Mexican Caribbean), my happiness was so great that I just couldn’t believe it, to many wonderful ideas appear in my mind. One of the first things I thought was to gather all family members and close friends, so we could spend the best time of our life with the people that we really love, but then again I thought, how am I going to take care of all my guests and planning ??

The wedding idea its self was in Fact a marvellous idea, a wedding in the beach, with all the closest people we love, the Mexican Riviera Maya, but, I just didn’t have any clear idea of how organize such a big destination wedding, also, I didn’t even know the place well, and I had no clue how to organise such a wedding.

Luckily a friend of mine advised me where to seek for information about weddings, she told me about a specific wedding agency that would take care of all my problems. To be honest, I never thought about my guest or what to do after or before the wedding, but the agency took care of everything.
When I contacted the agency they asked me what kind of wedding I would like to have, honestly I didn’t imagine that there would have several options from where to chose, I come from a conservative family so I was imagining myself in my white long bride dress and a wonderful ceremony but everything inside the normal standards and the traditional thing. The agency has several options for different kind of people, including religions or whatever the client ask for. At the beginning was pretty difficult to chose what I wanted but eventually everything was finally easy to choose.
When we arrived to Tulum three days earlier, we were just receiving kind attention and advises for the wedding, at first I just wanted a regular and traditional wedding and eventually I decided for a Mayan wedding.
We performed the “ceremonia de los cuatro vientos ” (4 wind ceremony). The shaman told us that the ritual was in order to call the forces of the positive energies, when or guest surrounds us in a circle, we were left right in the middle of the circle right before the sea, I felt so different like never before and yes, indeed I felt the magical positive energies that they mentioned before.

The day after the wedding they organised a tour around the most hidden and worderful places of the Rivera Maya, those places were marvellous, the beach, the pyramids, the holy cenotes, and the party atmosphere has nothing to compare with.
I do not regret for my choice. Many designers are offering bridal gowns made from light, easy to wear fabric like chiffon and silk crepe that are perfect for an island wedding. Ask your local bridal salon for additional ideas and on how to pack your gown for travel. Many of the resorts may have ironing services or they may be able to recommend a pressing service. If traveling to Europe, ask for a local tailor shop.

The Groom’s Attire

For the groom, a popular option is the all-ivory or all-white tuxedo. Some of today’s hottest tuxedo styles are designed in non-traditional styles and shades.

How far in advance should we book our venue and our vendors?

Banff and Lake Louise are limited in venues so its best to book as soon as you know that Banff is the place for your wedding.  Like anywhere else; its best to book at least a year in advance to be sure that you get the date that you want.  There are only so many Saturdays in the busy wedding month of May – October and venues like the Banff Springs Hotel and Buffalo Mountain Lodge fill up so quickly.  Some hotels like the Rimrock have strict booking policies so it’s best to check with the specific venue that you are interested in first before getting your heart set on something that you won’t be able to have.  There’s nothing worse than a bride in tears before she walks down the aisle because she didn’t get the aisle that she wanted!

Where can we have an outdoor wedding in Banff?

It all depends on how many guests you are planning on inviting and if you want your guests to be able to sit down for the ceremony.  There are a couple of places that are operated by the Town of Banff; Tunnel Mountain Reservoir ( sometimes called Banff Meadows) and the Central Park Gazebo.  Both sites have ample room for 50+ guests.  The Terrace at the Banff Springs Hotel is always a crowd pleaser with its stunning views of the Bow Valley.  The Juniper Hotel has an outdoor terrace that is spacious and looks out towards Vermillion Lakes.  The Rimrock Terrace has beautiful green grass and with Mount Rundle in the background your photos will be stunning.  If you are having a smaller wedding of ten guests or less you can always ask your marriage commissioner to meet you and your guests at popular places like Two Jack Lake, Cascade Gardens or Surprise Corner.  Again, check with the hotel that you would like to have a wedding ceremony at because most hotels have a food and beverage requirement.  We always recommend and indoor option as a ceremony back up.  Having a wedding in the mountains comes with risk and sometimes Mother Nature will not cooperate with you no matter what.  Be kind to your guests by saving the comments about the weather and have your ceremony indoors.  All your photos can be outside and your guests will be happy.

Where can we have a reception in Banff?

Banff has many different styles of hotels to accommodate you and your guests for your memorable wedding reception.  From a Luxurious high-end castle all the way to a rustic lodge nestled in the pine trees…..the possibilities are here!  When you book your wedding with a hotel in Banff or Lake Louise, you will be assigned a Wedding Coordinator or a Conference Services Associate.  This person is not your wedding planner.  If you want a Banff wedding planner you will have to hire one independently.  Your hotel contact is there to advise you of the hotel, it’s policies and procedures, the menu etc.  They are not there to advise you what color of eggplant goes with gold and what kind of gifts that you should present your brides maids with.  90% of the receptions in Banff are held indoors at hotels with the remaining 10% held outdoors in a more informal atmosphere.  Considering an outdoor event for 200; check with Parks Canada first to see if your event is possible.

Is the accommodation expensive?

Banff offers all types of accommodations from fun and funky B&B’s all the way to 4 diamond and 5 star luxury hotels.  Your guests do not have to stay at the same hotel that your wedding is being held at.  Most hotels will give you a preferred rate if your wedding is being held there.  Some hotels have a minimum room requirement on the night of your wedding.  It’s always nice to add a gift bag or something special to your guest’s rooms.  When they check in, have some maps of Banff and area as well as an itinerary for the weekend waiting for them in the room.  Guests will want to know what’s happening and how they can get involved while they are visiting the mountains.

How do we get to Banff?

Banff is located just a short one hour drive from the Calgary International Airport.  There are many different national car rental agencies at the airport that you can reserve a car at.  You will enjoy the foothills and the scenery as you approach the mountain range.  Canada’s highways are easy to navigate and driving a car to Banff will give you the freedom to explore the area while you are in town.  If you want to leave the driving up to someone else so you can enjoy the scenery and take plenty of photos; you can get a shuttle from the airport right to the front door of your hotel.  While you are in Banff and Lake Louise there are many tours that you can join in on.  Take some time to set something up with a local tour guide for your guests.  A nightly animal watch tour will be exciting and unforgettable for your guests.

Does Banff have vendors that can assist us with our wedding?

Banff has florists, DJ’s, photographers, videographers, wedding planners, limo rental agencies, and many other wedding providers to assist you.  That being said……if you want to bring your favorite Pastor to marry you just make sure that they have the necessary requirements to marry you in the province of Alberta.  Banff books up fast for vendors and we understand that you may want to bring your own flowers or photographer which is fantastic!  Enjoy your time here for your wedding and surround yourselves with the people who you love most on your special day.  GMiB will be able to advise you of the local vendors and match you with the vendors that suit your wedding day preferences.

If you’re getting married overseas, there are a few extra considerations when it comes to looking good. It’s time to start planning your ‘princess for the day’ look!

Your wedding attire
there are two main considerations when planning your outfit for a wedding abroad. You need to find something that you will be comfortable wearing, especially if you’re getting married in the sunshine, and you also need to choose something that you can transport relatively easily.

If the temperature on your wedding day is likely to be very cool, a ‘floaty’ beach dress probably isn’t the perfect choice. Look for something that will suit the environment – more of a traditional ball gown-style-wedding gown, for example. Equally, consider accessories such as shoes. Pretty beach sandals aren’t the thing for walking around the castle grounds. Instead consider a high heel shoe.

What you wear for your wedding is entirely up to you and there are no real dress rules if you are marrying in the grounds of your hotel. However, if you have arranged for a religious service in a chapel or church you will most likely be expected to respect local custom and cover your head and shoulders. Also in some Eastern countries, such as Thailand there is a specific dress code. Your wedding coordinator or the relevant embassy will advise you.

Transporting and caring for your outfits
when you choose your perfect dress, speak to the designer or store about how best to transport it. It may pack well with plenty of tissue paper, or could be better kept in a dress bag.

Check with your airline for advice on transporting your wedding outfits. Some recommend that they should be boxed or packed into separate suitcases. They will then be placed into the hold. Others suggest that you use suit carriers and, space permitting, they will be hung in the cabin of the aircraft. Outfits can always be carried as hand luggage but this will restrict you to keeping the rest of your hand luggage to a minimum.

As soon as you arrive at your hotel, unpack your wedding outfits and hang them up. A warm and humid tropical climate should allow creases to fall out naturally. However, your hotel or your wedding coordinator can normally arrange for your outfits to be steamed if necessary. Alternatively, hang clothes in a steam-filled bathroom, which will help the creases drop out.

Hair and beauty
Hair and beauty treatments can be arranged when you arrive at your hotel, or you might even decide to book things before you arrive. If your hotel does not have these facilities, ask whether there is somewhere you can visit nearby. For total peace of mind, practice styling your own hair and make-up before setting off.

You’re likely to want to have a healthy tan on your wedding day, but basking in the sun before the wedding isn’t a good idea. As well as damaging your skin, you run the risk of looking more like a lobster than a sun-kissed bride. Pace your sunbathing on the run-up to your wedding or help nature along with a good quality fake tan. If you’re doing your own fake tan, be sure to practise well in advance.

“What about a destination wedding?” … “How crazy would it be to have a destination wedding?”

There’s a ton of advice out there on the web about destination weddings, but ultimately you’ve got to really boil everything down to 4 important questions/considerations:

1. How big of a wedding do you envision? Generally, it seems that destination weddings/special events are more of an intimate gathering…unless of course money isn’t really the in your “top 3″ priorities.  If you’re really expecting 150+ guests for your destination wedding, know that the price tag, stress and details all follow accordingly.  Don’t get me wrong – I’m not saying it’s bad to have that many guests!  Just keep in mind that you’ve really got to stay focused and keep your guests updated. 

Advice: While hunting for a destination spot to say “I do,” find a place that is not only gorgeous and speaks to you both, but one with a wedding coordinator or maître d’ that you feel comfortable with.  Are they giving you more than just 1 way of contacting them?  Is your gut telling you something doesn’t seem right? Also, start an email list for your guests.  Remind them to have their flights reserved by a certain date, passports are up to date, etc., and be sure to block out rooms at your venue (if applic) or nearby resorts/hotels.

2. Are most of your guests willing to travel? I know I don’t have to be the one to tell you that money is tight for most people right now. While yes, your wedding/event is extremely important and special, there are going to be people who will have to carefully evaluate that against cash.

Advice: Go through your guest list with 2 color pens. Make 1 color for those who will DEFINITELY be there (you know who they are) and make the other color for those who will POSSIBLY be there.  Now evaluate.  Are there more under the ”Possibly” color than under the “Definitely” one?  If yes and you still want to invite them to your wedding, be prepared for the chance that all do show up and adjust accordingly.

3. Can you deal with “long-distance” planning? One thing you need to keep in mind is that the service you are used to dealing with at home (especially the NY area) is not always the same in your destination wedding area.  Many brides are surprised to learn that dealing with a wedding coordinator through the resort or hotel abroad requires a lot of patience and constant communication.  Remember, they don’t necessarily operate in the “New York minute” you may be used to.  In fact, they may take such a lackadaisical approach it can be nerve-racking for the brides who need that total sense of control.

Advice: Set up weekly reminders for yourself and always follow up with emails confirming everything. If you’re the type that needs to be there to see things through, this may be difficult for you. By keeping good lists and keeping it all in one spot (not some on your desk, some in a folder on your couch, etc) you can do it though! 4. Are you a procrastinator? If you are and you really, really want a destination wedding… make sure you have the support you’ll need to do it right.  There are too many details and things to remember that you simply cannot procrastinate or push off until “things get closer.” 

Advice: Have a sister, close friend who’s in your bridal party, or your maid of honor (or all of the above!) help keep you stay on track and organized. The MOH & BM should both be helping you and your significant other with these details.  Delegate them some key responsibilities so that you’re not left with having to remember everything for everyone. It’s too overwhelming and can quickly take away the fun and relaxing experience a destination wedding should be! I’m sure many brides deliberate this, especially in the beginning of the engagement/planning process.

Destination Wedding Or Traditional Wedding

So the engagement has finally come and you are ready to start the planning on your dream wedding. Every girl has dreamed of the perfect wedding. Big Church, Fancy White Gown, Men in Dinner Tuxedo’s, Flowers everywhere, now society has this new idea. The Destination Wedding. Which do you choose, Traditional or New Age. Big blowout event or small intimate setting with close friends and family.

My wife and I are wedding coordinators that have coordinated and participated in both types of weddings. We have been the Bridesmaids and Groomsmen in the local society wedding. We have been the Bridesmaid and Groomsmen in weddings on the beach and by a mountain stream.

All of these adequately fit the individuals that had them. The couple in the mountains would have been miserable in a large Church wedding. Likewise the Couple in the large Church wedding would have had an inadequate feeling had they not hosted this lavish event. So what is really the difference.

The first thought is that the small wedding is cheaper. Don’t be fooled by this at all. Generally speaking this wedding will have family and friends being transported to a resort destination, causing the cost of accommodations and food to increase. The wedding party is also there in the same location as the honeymoon site. So why use this option:

You don’t want family an friends involved in the Ceremonies at all.

You want to have a close knit wedding and get to enjoy everyone involved in it.

You are looking for something that is simply different from the norm.

Mother-in-Laws are overbearing and will ruin the wedding.

Better site for the Honeymoon location.

So the Traditional Wedding is the route you want to go. Well be forewarned there are several advantages and disadvantages to this as well. The cost of the rehearsal dinner and the reception have to be calculated. The guest from out of town have to be put up in a local hotel. So why spend the expense.

The Family generally does not have to travel as far and are local.

Your traditional minister can perform the ceremony.

Your dreams of the Perfect White Church Wedding can be fulfilled.

Old friends and family acquaintances will be at the wedding.

You prefer short amounts of time to be spent with many different individuals.

No matter which you choose, make sure that you are well informed and have read sites such as http://www.bridalblog.info and http://www.travelblogger.info. These sites will provide insight into your coming decision and outline how others have dealt with this difficult decision. As I get older and purportedly wiser I wish my wife and I’s Large Church Wedding would have been a South Pacific Destination wedding. Then I get out the old Wedding Photo Album and see all of the relatives who were at the wedding and are no longer with us and am glad that we had the Large Church Wedding.

Make sure to Consider all details and take time to make this decision. It will define you as a couple starting into your new lives together.
